CANCELLATION POLICY
Effective Date: 01/01/2026
At Mindfleur, we understand that plans may change. This Cancellation Policy explains the terms that apply when a confirmed booking is cancelled, postponed, or modified.
1. BOOKING CONFIRMATION
A booking is considered confirmed only after written confirmation from Mindfleur and, where required, payment of the agreed deposit.
2. CLIENT CANCELLATIONS
If the client wishes to cancel a confirmed booking, the following terms apply:
More than 30 days before the scheduled date: deposit refundable, unless non-refundable third-party costs have already been incurred
15 to 30 days before the scheduled date: 50% of the deposit may be retained
7 to 14 days before the scheduled date: deposit is non-refundable
Less than 7 days before the scheduled date: up to 100% of the agreed amount may be charged, depending on preparation, staffing, purchases, and operational commitments already made
3. NON-REFUNDABLE COSTS
Any costs already incurred by Mindfleur specifically for the booking, including but not limited to supplies, rentals, transportation arrangements, staffing, or special orders, may be non-refundable regardless of the cancellation date.
4. POSTPONEMENTS / DATE CHANGES
If the client requests a change of date instead of cancellation, Mindfleur will make reasonable efforts to transfer the booking to a new date, subject to availability.
Any rescheduling request must be made in writing. A new price may apply if the scope, season, staffing requirements, or supplier costs change.
5. LAST-MINUTE CHANGES
Changes in guest count, service duration, venue, setup requirements, or requested deliverables made shortly before the event may result in additional charges and may not always be possible to accommodate.
6. NO-SHOW
If the client fails to attend, receive, or facilitate the agreed service without prior written cancellation, the booking will be considered a no-show and no refund will be due.
7. CANCELLATION BY MINDFLEUR
If Mindfleur is unable to provide the agreed service due to force majeure, safety concerns, severe weather, or other circumstances beyond reasonable control, we will make reasonable efforts to offer:
a rescheduled date, or
a partial or full refund, depending on the nature of the cancellation and any costs already incurred
8. FORCE MAJEURE
Mindfleur shall not be liable for cancellations or delays caused by events outside its reasonable control, including extreme weather, natural disasters, transportation disruption, government restrictions, strikes, or similar events.
9. REFUND METHOD
Approved refunds, where applicable, will be made using the original payment method unless otherwise agreed. Processing times may vary depending on the payment provider or bank.
10. CONTACT
For any cancellation or rescheduling request, the client must contact Mindfleur in writing using the official contact details listed on the website.
